How we enabled Database Tycoon to redefine and optimize their existing workflows in order to address their changing needs as an evolving boutique data consultancy, empowering them to maximize their capabilities and potential:

Getting Your Consultancy’s House in Order

Outcomes

Revamped and deployed refined processes for 6 core workstreams

Empowered team members to take full ownership of their existing functions

Created 3 new workflow processes to remove responsibility from Founder

Refocused founder’s ability to concentrate on big-picture strategic thinking

Context

Database Tycoon is a boutique data consultancy in the early stages of its growth, where the founder struggled with building processes and structure around his team’s operational needs.

This became evident in how team members interacted with each other in daily meetings and thought about their functions, leading to friction in their day-to-day operations and preventing them from scaling as needed

Objectives

Understand and refine existing workflows and processes across all workstreams

Implement new processes to remove operational burden from Founder

Co-create and coach team members on collaborative approaches for processes

Client Perspective

Superposition completely revamped my team's processes with their custom whiteboard templates. I never put much thought into how to structure a meeting before, and their coaching showed me that I was missing out on a lot of good team discussions. Now my team and I work together more effectively, and we enjoy our meetings more. Superposition's coaching is what made it possible!

How We Did It

Phase 1: Kickoff Workshop

  • Completed initial half-day discovery session to define structure for processes to target internally

    • Focused session on defining the full list of internal process challenges across the team

    • Paid particular attention to ongoing culture and team practices, as well as potential areas for quick improvement across day-to-day operations to build an action plan

A detailed workshop chart titled 'Database Tycoon Kickoff Workshop' with sections on principles, processes, priorities, standards, and next steps, featuring color-coded diagrams, sticky notes, and flowcharts.

  • Completed a number of mini-workshops and review sessions with each member of the Database Tycoon team, including: sales, partnerships, marketing, account management, and other major functions

    • Over the course of ten weeks, each team member had the opportunity to voice ongoing issues, work with our team to refine new versions, and roll out improved workflows

    • As required, additional sessions were held to provide each team member coaching on facilitation for individual workflows

      • As we went along, regular cadences were set up with Stephen (CEO) to discuss progress, adjust specifics and define next steps in terms of tactical impact

Phase 2: Deep-Dive Workshops

A Marketing process workfow working board we built for Database Tycoon with columns titled Instructions, Backlog, and six categories with color-coded labels, sticky notes, and profile pictures of team members.
A Sales process review chart we built for Database Tycoon with sections for past, ongoing, and future reviews, color-coded sticky notes, and categories for what worked, what can improve, and future ideas.

  • Using feedback from workshops in Phase 2, defined key processes to create based on the missing components in Database Tycoon’s needs

    • Completed a series of ideation sessions with Stephen to understand specific gaps, clarify intent, and iteratively rollout MVPs for each improved workflow

Phase 3: New Process Rollout

A digital standards work board we built for Database Tycoon with sections for organizing ideas, brainstorming, and discussions. It includes sticky notes, images of people, and labels for tasks and topics.
